The protection of your personal data is a priority for EASY4STAY. Below, we describe who we are, for what purposes we may use your personal data, how we process it, with whom we share it, how long we retain it, and how to contact us to exercise your rights.

Who are we?

Your data will be processed by EASY4STAY, LDA, tax identification number 510325050, with registered office at Rua da Santa Casa da Misericórdia de Olhão, no. 7, 2nd Floor Left, 8700-132 Olhão, Portugal (hereinafter referred to as EASY4STAY).

EASY4STAY is the data controller within the meaning of the General Data Protection Regulation (hereinafter referred to as GDPR).

Why do we process your information?

Your personal data may be collected and processed by EASY4STAY for the following purposes:

  1. a) To fulfil legal obligations to which EASY4STAY is subject, in particular communications to the immigration and borders services and billing purposes.
  2. b) For the purposes of executing a temporary accommodation contract for tourists or a Local Accommodation Management Contract entered into with EASY4STAY, namely payment transactions, management of check-ins and check-outs, guest management, deposit collection, provision of complementary services during the stay such as cleaning, transfers and breakfast or grocery services, management of contractual obligations or for pre-contractual diligence purposes.
  3. c) For the purposes of mobile and email communications, with information and commercial communications, digital platforms, within the scope of EASY4STAY’s marketing strategies, information and commercial and contractual communications, as well as for information requests.
  4. d) For the purposes of protecting property or assets held by EASY4STAY, as well as for statistical analysis purposes.

Failure to provide personal data for the purposes set out in paragraphs (a) and (b) leads EASY4STAY to non-compliance with legal obligations and consequently to the possibility of termination of the Temporary Tourist Accommodation Contract or the Local Accommodation Management Contract entered into, without entitlement to any compensation, as well as deficient services provided by EASY4STAY that cannot be attributed to it.

What type of personal data do we collect?

In the course of its activities, EASY4STAY will collect and process the personal data necessary to provide the contracted services, information requests or pre-contractual management, namely identification, contact, banking or payment card data.

On what basis do we process your information?

The processing of your personal data will be carried out on the basis of the execution of the temporary accommodation contract for tourists, the Local Accommodation Management Contract and compliance with legal obligations imposed on EASY4STAY, in particular by legislation on matters of entry, residence and departure of foreigners in national territory and tax legislation (Article 6(1)(b) and (c) of the GDPR).

Additionally, the personal data collected for the purposes set out in paragraph (c) of the previous section are based on the consent you have given to EASY4STAY for their processing (Article 6(1)(a) of the GDPR).

For the purposes set out in paragraph (d) of the previous section, EASY4STAY will process personal data based on the legitimate interest it pursues (Article 6(1)(f) of the GDPR).

How long do we retain your information?

Without prejudice to any contrary legal provisions, regulatory or judicial determinations, the collected personal data will be retained only for the minimum period necessary for the purposes that motivated their collection or subsequent processing.

To whom may we transfer your personal data?

EASY4STAY may need to share some of your personal data with other recipients. These recipients include:

  1. a) Organisations and/or companies affiliated with EASY4STAY provided they comply with an equivalent policy on the protection of personal data.
  2. b) Public entities to which EASY4STAY is legally required to provide information, in particular the Immigration and Borders Service and the DGCI – Directorate-General for Taxation.
  3. c) Subcontractors who provide certain services related to your personal data under a subcontract and with the sole purpose of providing technical assistance to EASY4STAY. These include, in particular, website hosting providers, email marketing service providers, cleaning service companies, law firms, accounting companies and insurance companies.
  4. d) Competent authorities to which EASY4STAY is legally required to disclose information during legal proceedings or to detect technical and/or security problems, such as judicial entities or competent supervisory authorities.

Is my data transferred to countries outside the European Union?

Your personal data, collected by EASY4STAY, will not be transferred to any entity established outside the territory of the European Union.

Exceptionally and subject to certain conditions, EASY4STAY may transfer your personal data to countries outside the territory of the European Union, in accordance with applicable legislation, namely for data hosting or storage purposes, outsourcing of technical processing, back-up and recovery of hosted data, and service development.

EASY4STAY guarantees that it will not transfer your personal data to countries that do not guarantee an adequate level of protection, in accordance with the provisions of the GDPR.

What are my rights?

At any time, in accordance with the GDPR, you may request access to your personal data, as well as its rectification or erasure, restriction of processing carried out, the right to object and the right to data portability.

If the requests submitted are manifestly unfounded or excessive, in particular due to their repetitive nature, EASY4STAY may require the payment of a reasonable fee taking into account the administrative costs of providing the information or communication, or of taking the measures requested, or refuse to comply with the request.

In the case of personal data whose processing by EASY4STAY is legitimate based on the consent you have provided, you are granted the right to withdraw consent, without the exercise of such right being able to compromise the lawfulness of the processing carried out on the basis of the previously provided consent, nor the subsequent processing of the same data, based on another legal basis, such as the fulfilment of a contract or the legal obligation to which EASY4STAY is subject.

You also have the right to lodge a complaint with the National Data Protection Commission.

Security and Confidentiality

We are committed to keeping your data secure and use appropriate security measures to ensure that your personal data is protected and to prevent access to it by unauthorised persons. However, the transmission of data over the Internet is not completely secure and we cannot provide an absolute guarantee of the security of information transmitted through our website.

We also respect the confidentiality of your information. Therefore, we do not sell, distribute or make your information commercially available in any other way to any third party. EASY4STAY undertakes to keep your information confidential in accordance with this Privacy Policy and applicable legislation.
